Expenses Management

Documentation

The Expenses page allows you to record and view various types of expenses. You can view the total expenses and sort them by class or expense type for better organization and analysis.

Navigation

The page starts with a navigation bar, as shown in the image below. The left arrow lets you navigate back, while the plus (+) icon enables you to add a new expense, as described in the “Add Expenses” section below.

Add expenses

The plus (+) button on the top-right corner opens the Add Expenses form, where you can add two types of expenses:

1. Class Expenses

Class expenses are specific to a selected class, such as printing costs for Class A or Class B. This feature helps tutors identify expenses for a particular period in a specific class.

Steps to Add Class Expenses:

  1. Enter the date, title, and description of the expense.
  2. Select the class from the drop-down menu.
  3. Enter the amount.
  4. Click the Add Class Expense button to save the expense.

2. Other Expenses

Other expenses are general expenses, such as electricity, water, or fuel. You can categorize these expenses and sort them by category for a specific time period.

 

Steps to Add Other Expenses:

  1. Enter the date, title, and description of the expense.
  2. Select a payment type. If the desired payment type is not available, you need to add it first.

  1. Type the payment type (e.g., Electricity, Water).
  2. Click the Add Now button to save the payment type.

 

Expenses reporting

Total Expenses

Below the navigation bar, you will find the Total Expenses box, which displays the combined total of class expenses and other expenses.

  1. Use the drop-down list to select a class and view its expense details.
  2. The total expenses for the selected class will be displayed.
  3. You can sort the expenses by selecting a specific date range.
  4. The expense history for the selected class will also be visible and sortable by date range.

 

Other expenses tab

  1. Use the drop-down list to select an expense type.
  2. The total expenses for the selected expense type will be displayed.
  3. You can sort the total and recent expense history by a specific date range.

Fee Management

Documentation

The Fee Page enables tutors to efficiently manage and analyze fees (payments) made by students. Users can view the total income, income for a selected class, and payment details for individual students in the tuition.

Navigation

The page starts with the navigation bar, as shown in the image below. The top-right corner features a plus (+) button, which navigates to the Add a Fee section.

 

Add a fee

Clicking the plus (+) button opens the Add Fee form, as illustrated in the image below.

This feature is designed as an alternative option when a student:

  • Fails to scan the QR code when attending a class session.
  • Forgets to make a payment using the QR code.

Note: The primary method for fee payments is through QR code scanning. The Add Fee feature is an alternative for exceptional cases.

Steps to Add a Fee:

  1. Select Class: Begin by selecting the class of the student from the dropdown menu.
  2. Select Student: Choose the student from the dropdown. The selected student’s name and ID will appear below the dropdown.
  3. Choose Paying Month: Select the paying month from the dropdown.
  4. Select Class Fee: Choose the appropriate class fee. (Class fees can be added through the Edit Class option on the Classes Page.)
  5. Add Remarks: Optionally, include any remarks related to the fee.
  6. Complete Payment: Click the Add Payment button to finalize the fee addition.

Recent Fees

 

At the bottom left of the Add Fee form, a green button provides access to the recent payments made by the selected student. This section displays details such as:

  • Payment Dates
  • Amount Paid
  • Class Name
  • Remarks
  • Payment ID

All time Fees/Class Selection and Class Fee Details

The top section of the page displays:

  1. All-Time Earnings: A box showing the total income generated from all students.
  2. Class Dropdown: A dropdown menu listing all added classes. Selecting a class updates the fee information specific to that class.
  3. Class Income Indicator: Next to the dropdown, the total income for the selected class is displayed. This can also be sorted by a specific time period.

 

Student List

The Search Bar allows users to locate students within the class selected from the dropdown above. Selecting a student’s name from the list or search results updates the Payment History for that student.

Payment History

The payment history includes the following details:

  • Payment Date
  • Payment ID
  • Paid Amount
  • Class Name
  • Paying Month
  • Remarks

Class Management

The Class page in TutorsFlow enables users to add and manage classes, record class-related data, and generate reports. These reports include total student counts for specific classes, session details (e.g., total session count, session summaries, attendance), and more.

Navigation

You will find a navigation bar at the top of the page (see image). The left arrow allows you to navigate back, while the plus (+) icon is used to add a new class, as described in the “Add a New Class” section below.

Add a new class

To add a new class, click the plus (+) button located at the top right corner. This will open the Add Class form. Provide a unique name for the class and click the “Add Now” button to save it.

Note: Avoid adding duplicate class names.

Class counter

The top section of the page includes a counter box that displays the total number of classes you have added.

Search Bar and class list

The search bar helps you locate specific classes within your institute. When you click on a class name from the class list or search results, the Class Details Box updates with the relevant data for the selected class.

Class details box

The Class Details Box provides the following information:

  1. Selected Class Name: Displayed prominently at the top.
  2. Action Bar: Contains various options for managing the class.
  3. Student Counts: Includes total students, active students, and inactive students for the selected class. These counts can be filtered by specific date ranges using the date selection tool.

Edit class

The first button on the action bar opens the Edit Class page. Here, you can:

  • Update the class name.
  • Add a class fee amount.

You can add multiple fee amounts, allowing for future updates. However, at least one fee amount is required to record payments via QR code or the web dashboard.

Note: Once added, class fee amounts cannot be changed or deleted.

Add class sessions

The next button on the action bar allows you to add class sessions.

To create a session, provide the following details:

  • Session date
  • Session start time
  • Session end time
  • (Optional) Lesson plan

Once a session is added, it will appear on the Class Sessions list, as described below.

Class sessions

The Class Sessions section displays a horizontally scrollable list of sessions, showing session dates and times.

  • Sessions with a green border indicate current or future sessions.
  • Sessions with an orange border indicate past sessions.

Class sessions Summery

Clicking on a session opens a summary with the following details:

  • Class name and date
  • Session start and end times
  • Attendance count for the session
  • Lesson plan (if added during session creation). The lesson plan can also be edited here.

Add attendance to a session

If a student fails to mark attendance for a session, you can manually add it:

  1. Select the session.
  2. Click the “Add Attendance” button.
  3. A new card will appear with a dropdown to select the student.
  4. Choose the student and click the “Add Attendance” button.

 

Class Student List

Below the Class Details Box, you will find a list of students belonging to the selected class. This list displays:

  • Student first name
  • Student last name
  • Student ID

The Students page in TutorsFlow enables tutors to efficiently add, manage, and generate reports for students. This page provides insights such as total student counts, student lists, and available actions for selected students, including attendance reporting and more.

Navigation

At the top of the page, you will find a navigation bar (see image). The left arrow allows you to navigate back, while the plus (+) icon is used to add a new student, as described in the “Add New Student” section below.

Add new Student

To add a new student, click the plus (+) button located at the top right corner. This will open the Add New Student form. Fill in the required details and assign a class to the student using the “Select Class” dropdown menu. Ensure all information is accurate before saving.

Student Counter

Next to the navigation bar, there is a counter box displaying the total number of students. This includes both active and inactive students, helping you quickly assess the current student count for your institution.

Search Bar

The search bar allows you to locate specific students easily. The student list below the search bar displays the student’s name and their assigned class.

 

Student Details and Action Bar

When you click on a student’s name, their basic details and a QR code will appear, along with the Action Bar. The Action Bar provides the following options:

  1. Active/Inactive Indicator: A green indicator shows the student is active, while a red indicator shows they are inactive.

2. Student Remarks: Displays a log of actions performed for the student, such as status changes or class updates.

3. Change Class: Opens a form where you can reassign the student to a different class. This includes viewing current and selected class details (class name and ID). Click the “Change Now” button to confirm the update. A remark will be automatically added to the student’s log.

4. Edit Student: Allows you to update student details such as first name, last name, phone number, address, and birthday. A toggle button lets you set the student’s status to active or inactive.

5. Print: Opens a printable view of the student’s QR code and details. You can also generate and share the ID in PDF format by clicking the “Get ID” button.

Student Details

Attendance Record

The attendance record section provides detailed information about the student’s attendance. You can filter records by start and end dates. The report includes:

  • Attendance date and time
  • Class name
  • Class start and end times
